1. Introduction

DocReplica ("we", "us", "our") operates the DocReplica web application. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our service.

2. Information We Collect

We collect the following types of information:

  • Account information — your email address and authentication credentials when you create an account.
  • Uploaded documents — photos and scans of documents you upload for processing.
  • Generated content — the HTML reconstructions produced from your uploads.
  • Payment information — billing details processed through our payment provider, Stripe. We do not store your full credit card number.
  • Usage data — information about how you interact with the service, including document processing history and quota usage.
  • Automatically collected data — when you use DocReplica, we automatically collect your IP address, browser type, device information, operating system, and general usage patterns through our hosting infrastructure.

3. How We Use Your Information

  • To provide and maintain the DocReplica service.
  • To process your uploaded documents using AI-powered reconstruction.
  • To manage your account and subscription.
  • To process payments and prevent fraud.
  • To communicate with you about your account or service updates.
  • To improve and optimize our service.

4. Third-Party Services

We use trusted third-party service providers to operate DocReplica, including for hosting, authentication, payment processing, and AI-powered document analysis. These providers may receive or process your data solely to perform services on our behalf and are obligated to protect your information in accordance with their own privacy policies and applicable law.

5. When We Share Your Data

We do not sell your personal information. We may share your data in the following circumstances:

  • Service providers — with trusted third parties who process data on our behalf to operate the Service (e.g., hosting, payment processing, AI document analysis).
  • Legal compliance — when required by law, regulation, or legal process, or to respond to lawful requests from public authorities.
  • Safety and fraud prevention — to protect the rights, property, or safety of DocReplica, our users, or the public.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, in which case your data may be transferred to the new entity.

6. Data Retention

Original uploaded images are automatically deleted from our servers after 30 days. Generated HTML reconstructions are retained for as long as your account is active. You can delete individual documents at any time from your dashboard. If you delete your account, all associated data will be removed from our systems.

7. Data Security

We implement appropriate technical and organizational measures to protect your data, including encrypted connections (TLS), row-level security policies on our database, and secure authentication practices. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. International Data Transfers

Your data may be processed and stored on servers located outside your country of residence, including in the United States. By using DocReplica, you consent to the transfer of your information to countries that may have different data protection laws than your own.
